Rental agreement

Terms that protect the gear and your booking.

These conditions explain the responsibilities accepted when equipment is booked, collected and used.

01

Booking and confirmation

Online submissions are requests until UD Camera Rent & Store verifies payment, identity details and equipment availability. We may contact the renter to clarify dates, quantities, compatibility or collection arrangements before confirmation.

02

Rental charges

The renter must pay the confirmed rental total through the method shown at checkout. Additional amounts may become payable for approved extensions, late returns, missing items, loss, theft or damage.

03

Identity and collection

The named renter must provide valid government-issued photo identification when requested. Equipment will normally be collected from the agreed Panadura or Chilaw location. No item should leave until the renter has checked the equipment, accessories and recorded condition.

04

Rental period and return

A standard rental day is 24 hours unless the booking states otherwise. Equipment must be returned by the agreed time with all supplied batteries, chargers, caps, cases, plates, cables and accessories. Extensions require approval before the original return time.

05

Care and permitted use

The renter must use equipment lawfully, carefully and according to manufacturer guidance. Equipment must not be left unattended, exposed to rain, salt water, excessive heat, dust or unsafe mounting conditions. Sub-renting, lending, opening, repairing or modifying equipment is prohibited without written approval.

06

Loss, theft and damage

The renter is responsible for the equipment from handover until accepted back by UD Camera Rent & Store. Loss, theft, liquid exposure, impact damage, misuse and missing accessories must be reported immediately. The renter may be charged reasonable inspection, repair, replacement and recovery costs.

07

Breakdowns and limitations

Stop using equipment if a fault appears and contact us promptly. We will make a reasonable effort to troubleshoot or provide an alternative when available. UD Camera Rent & Store is not responsible for indirect losses such as missed footage, production delay, lost profit or third-party commitments.

08

Changes and cancellations

Changes, cancellation requests and refunds are reviewed according to payment status, notice given, preparation already completed and the effect on other reservations. A replacement date or item is subject to availability.

09

Personal information

Customer information, identification details and payment receipts are used only to administer bookings, verify transactions, protect equipment and meet legal obligations. Private payment files are not published.

10

Applicable law

This agreement is governed by the laws of Sri Lanka. The parties should first attempt to resolve disputes directly and in good faith before pursuing formal remedies.
